Special Events Coordinator Opening Announcement

Anime Twin Cities is thrilled to announce an opening for the position of Special Events Coordinator. We are looking for a dedicated and enthusiastic individual to join our team and help us create unforgettable events for our community.

The description is as follows:

The Special Events Coordinator is responsible for organizing, managing, and maintaining ATC’s community presence and special events. This position reports to the ATC Board of Directors.
 

Primary Responsibilities:

  • Point of Contact:

    • Serve as the main contact for ATC Partners and Sponsors.

    • Seek new event partners.

  • Event Management:

    • Organize ATC ambassador tables, booths, and room parties at events.

    • Maintain a list of partner events and ATC resources.

    • Example Events: Midwest Conventions, Twin Cities Pride Festival, Como Park Obon Festival

    • Plan other ATC Events, past ex: Cosplay on Ice, Akihabara Anime Market 

  • Team Coordination:

    • Ensure all planning meetings have scheduled dates, times, and locations

    • Ensure planning meetings attendance is tracked and reported

    • Ensure sufficient staff for events by engaging team members and recruiting volunteers.

    • Collaborate with AD Convention Relations and AD Staffing for Staff Exchanges

  • Communication and Promotion:

    • Collaborate with the Communications Coordinator to promote events.

    • Create and distribute event marketing materials.

  • Administrative Duties:

    • Attend monthly ATC Board meetings to report planning progress

    • Submit the annual event budget and goals.

    • Manage petty cash and event income.

    • Record event attendance and statistics.

    • Maintain event documents on Google Drive.
